Privacy Policy

When you contact us. The contact form asks for your name, email address, and message, and optionally your company and the service you are interested in. We use this only to respond to you.

When you request an assessment. We collect the business details you submit, and may add publicly available information about your business to prepare the assessment.

When you sign in with Google. Staff and authorized client users sign in to administrative tools with a Google account. We receive your name, email address, and Google account identifier, and use them only to confirm who you are and whether your account is permitted to access the tool. We do not request access to your Gmail, Drive, contacts, or other Google data through sign-in.

When you use a service we run for a client. Some applications we operate belong to our clients, such as a venue's website chat assistant, an email assistant working in a client's own mailbox, or an event sign-up form. Information you provide there (for example chat messages, emails sent to that business, or sign-up details) is processed on that client's behalf and under their direction. Questions about that information are best directed to the business you were dealing with, and we will help them answer.

We use information to respond to inquiries, deliver and support the services our clients engage us for, keep those services secure and working, and meet legal obligations. We do not sell personal information, and we do not use it for advertising.

Vara Partners' use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.

We rely on a small number of service providers to run our services: Google Cloud (hosting, databases, and AI models), Resend (email delivery), Cloudflare (DNS and bot protection on forms), and AI model providers such as Anthropic, which process the text of conversations handled by our assistants. They process information on our behalf and only as needed to provide their service.

We use cookies only where a feature needs them, such as keeping you signed in to an administrative tool and protecting sign-in from forgery. Forms may use Cloudflare Turnstile to tell people from bots. We do not use advertising cookies or third-party analytics trackers.

We keep information only as long as needed for the purpose it was collected for, or as a client agreement or the law requires. Data is stored with Google Cloud in the United States, encrypted in transit and at rest, and access is limited to people who need it to do their work.

You can ask us what information we hold about you, or ask us to correct or delete it. For information held on behalf of a client, we will work with that client to respond. SMS alerts are covered separately in our SMS Alert Consent terms.
